Customer Agreements & Waivers

Petsoft manages your facility's legal agreements, liability waivers, and Terms of Service. Pet parents sign digitally before booking, and you choose whether that signature covers the whole household or each individual pet.

Everything here lives under Organization > Manage > Agreement Policy, which has two tabs: Agreement Policy and Terms Of Service.

Choosing how signatures work

Petsoft supports a single, org-wide agreement policy. You choose whether it applies per customer or per pet.

Go to the Agreement Policy tab and edit the Agreement Policy Type:

OptionWhat it means
Per CustomerOne signature covers the household.
Per PetA separate agreement must be signed for each pet.

Petsoft explains it this way: "Based on the selection, an agreement is covered at the selected level, e.g. if the 'per pet' setting is selected, then the system will operate with pet-level agreements, meaning that a separate agreement must be signed for each pet."

Writing your Terms of Service

The Terms Of Service tab lists every version you've published, with Date, Active, and Number Of Signers — so you can see how many customers agreed to each one.

The Terms Of Service version list Every version you've published, with how many customers signed each. The pencil edits (which publishes a new version); the button on an older row re-activates that revision.

Click Edit the Terms Of Service, write or paste your terms, and click Save.

warning

Versions are never edited in place. Petsoft states it plainly on the edit screen:

"Terms and Services are not editable or deletable. Saving this will add a new record which will supersede the previous Terms of Service. Users must agree to the new Terms of Service to reserve services."

There's no separate "create" versus "edit" — saving is publishing a new version. And publishing one re-prompts your customers: everyone must accept the new terms before they can reserve again. Fix a typo, and you've asked your whole customer base to re-sign. Use Preview first.

Need to go back to an earlier version? Open it from the list and use Use This Terms Of Service to activate that revision.

Checking whether a customer signed

The customer's header shows Agreement: Signed or Not Signed at a glance. Staff can also sign on a customer's behalf from there — see Managing Your Customers for that flow and its legal confirmation.

Your own Terms of Service with Petsoft

Separately from the agreement your customers sign, Petsoft occasionally asks you to accept updated Petsoft Terms of Service. Account Owners get a Petsoft Terms of Service dialog that can't be dismissed by clicking away, offering four choices:

  • I Agree
  • Email Me — sends the terms to read later
  • Snooze — reminds you again in about 20 hours
  • I Do Not Agree (Cancel Subscription)

There is a deadline, and the dialog states it: "You must agree by [date] or your account will be automatically deactivated." Snoozing is fine; ignoring it until the date is not.
