Setting Your Prices

You can set up Petsoft to match your business. Petsoft has no fixed pricing rules. You create your own services, rates, names, and weight categories.

Go to Services in the left navigation to set your prices. This page has six tabs:

You need the Manage Facility Services permission to see Services in the navigation. The same permission also controls saving and deleting.

Where to enter each price

Read this section before you start. Petsoft prices services in two different places:

Rate Levels are different from both. Rate Levels are the tiers you use to sort runs, such as Regular and VIP. Rate Levels have no price. Service Rates set the price for each Rate Level. See Runs & Rate Levels.

How rate sets schedule price changes

Service Rates and Facility Services store their prices in a rate set. A rate set is a dated range that shows when those prices apply. You do not overwrite a current price. Instead, you create a new rate set that starts on the change date, and you edit the prices there.

A new rate set copies the prices from the set before it. You only need to change the prices that are different. Existing invoices and captured deposits do not change when a rate set changes.

Facility Service Rate Sets Rate sets are dated ranges. The current rate set has no end date. The date filter above the plus button shows which rate set applied on a chosen day.

Pricing boarding and daycare

Go to Services > Service Rates. You need at least one rate level before you start.

  1. Click Add a new Service Rate Set. Pick a Start Date. This is the first day the new prices apply. Two rate sets cannot start on the same date.
  2. Click the pencil icon on a rate set to open Edit Service Rates. Filter by Service and Run Rate Level to find the item you want to change.
  3. Each row is a volume set. A volume set is the per-pet prices for one service at one rate level. Click Create a new volume set, or edit an existing row.
  4. Enter a rate for each pet count, for example Dog 1 Rate and Dog 2 Rate.

Different per-pet rates create multi-pet discounts. For example, the first pet boarding in a Regular run costs $35, and a second pet sharing that run costs $30. If you do not want to discount multiple pets, set the same amount for each pet count.

The highest pet count you enter applies to that count or more. The list shows this row with a plus sign (+). You must delete volume sets starting with the highest pet count. Each service and rate level combination must keep at least one volume set.

Pricing grooming, baths, add-ons, and weight-based charges

Go to Services > Facility Services. This tab has two purposes. You define services here, and you set their prices here.

Facility Services in a rate set The services inside a rate set, each with its department, taxable flag, and price. Click the pencil icon to open a service and edit it, including its weight tiers.

Click Add New Facility Service Rate Set. Click Add New Facility Service. Fill in the fields below:

Prices by Start Weight

Facility Services configuration A facility service with pricing based on weight, shown at the bottom: $20 starting at 0 lbs, $30 starting at 50 lbs.

You can charge more for larger dogs:

  • Flat price: Add one price, and leave the start weight empty.
  • Weight-based pricing: Click Add Row for each tier. Give each row a Start Weight and a Price. One row must start at 0.

Each row applies its price starting at its start weight, up to the start weight of the next row. In the picture above, a dog that weighs 45 lbs pays $20, and a dog that weighs 60 lbs pays $30. You can set any number of tiers. There is no limit of two.

You define the tiers. Petsoft does not include fixed weight categories such as small, medium, or large. You set the weights and the prices.

Two rules to remember

  • New services apply to future rate sets too. "Adding a new Facility Service adds the service to the current rate set and any future rate sets."
  • Active reservations restrict changes to a service. If a service has at least one active reservation, most fields become unavailable. Only the name, description, and add-on setting can still change. The Delete button for the service is also unavailable while it has an active reservation. If you edit a price in a rate set that has reservations, Petsoft warns you that the change affects those reservations.

Deleting

  • Deleting a service removes it from all rate sets. You cannot undo this. The delete button is at the bottom of the service's edit page. This button is unavailable if the service has an active reservation.
  • Deleting a rate set is also permanent. The rate sets before and after it extend to cover the resulting gap in dates. The confirmation page lists every price that will be removed.

The Service Rates page warns you: "Any reservation deposits already captured will remain at their existing values."
