Reviewing new pets and documents
When a pet parent adds a pet through the Parent Portal, or uploads vaccination documents, the pet goes into a review queue. A staff member must check it. The number on the Customers menu item shows how many pets are waiting.
Opening the queue
The Pending tab is next to Search. It has its own count. Petsoft explains the page like this:
"Below is a list of pets that were recently added through the customer portal, or that have vaccination documents that need review. Use the email icon to email the customer and ask for vaccination documents. Use the phone icon to call the customer, on devices that can make calls. Use the add contact note icon to record that you contacted the customer. Review the note text, then click OK to save it."
The list shows Customer, Customer Status, Pet, Pet Status, Documents Needing Review, and Note. Each row gives you four actions:
- Review — open the pet and make a decision.
- Add Contact Note — records that you contacted the customer. The note text is filled in for you, and states that you contacted the customer about the required vaccination documents.
- Email — opens a message, addressed to the customer, that asks for vaccination documents.
- Call — calls the customer, on devices that can make calls.

Reviewing a pet
Review opens Reviewing <pet name>. This page shows the pet's details: Color, Birthday, Breed, Signed Agreement, Weight, Neutered/Spayed, and the customer's name and phone number. It also shows the pet's vaccination dates, which you can edit on this page, and a Document Preview of all uploaded documents. For documents that are not images, click Download Document instead.
The main button changes depending on the pet's status:

If required vaccinations are still missing expiration dates, Petsoft asks you to confirm before you approve the pet:
"Some required vaccinations are missing expiration dates. The pet needs these before its trial. Do you want to approve the pet for trial anyway?"
When you approve a new customer's last waiting pet, the customer's status changes to Pending First Visit. The customer then gets an email that says their account is approved.
How do I reject a pet?
There is no reject button. If your organization's rules require review before booking, an unapproved pet cannot be booked. You can also set the pet's status yourself, on the pet's General tab.
