Managing Pet Records

Every pet has their own profile in Petsoft. This is where you keep track of their size, their shot records, and any special needs they have (like allergies or medications).

What's in a pet's profile?

DetailWhy we track it
Name & BreedSo you know exactly who the pet is.
WeightWe use this to automatically pick the right price based on your custom weight tiers.
Fixed?Keeps track of whether the pet is spayed or neutered.
Board SeparatelyCheck this if the dog doesn't get along with other pets in their family.

How do I know if their shots are current?

Petsoft uses colors to make it easy for your staff to see who is ready to stay and who isn't.

Your Rules, Your Vaccines: The list of vaccines you see below is just an example. You choose exactly which vaccines to track (like Rabies, Distemper, or K9 Flu) in your Organization Settings.

Green: Good to go!
Warning
Inside your warning window
Yellow: Expiring soon
Expired
Date is in the past
Red: Cannot book*

*The system only blocks bookings for vaccines you have marked as "Required."

How to update shots:

  1. Open the pet's profile and click the Vaccinations tab.
  2. Type in the Expiration Date for each shot on your business's list.
  3. Upload a photo of their records by dragging an image into the Documents tab.

Vet Info, Allergies & Private Notes

  • Veterinarian: Link the pet to their doctor so you know who to call in an emergency.
  • Allergies: Any food or skin allergies will be printed on the pet's run card and feeding reports.
  • Staff-Only Notes: You can keep private notes about a pet's behavior.
    • Important: These notes are just for you and your staff. The pet owner will never see these in their portal.
