Managing Your Customers
In Petsoft, every pet owner has their own profile. This is where you keep their contact info, their billing history, and their emergency contacts.
To find a customer, go to Customers > Search.
Use the search bar to find anyone in your system quickly.
How do I add or edit a customer?
| What to enter | Why we need it |
|---|---|
| First & Last Name | The name of the pet's owner. |
| Email Address | They'll use this to log into the portal and receive their bills. |
| Phone Number | The best way to reach them or send them a text. |
| Address | Used for billing and tax. |
| Emergency Contacts | Who should you call if the owner can't be reached? |
How everything is connected
Money, Store Credit & Saved Cards
On the customer's profile, click the Billing tab to manage their money:
- Past Bills: See everything they've paid (or still owe) in the past.
- Store Credit: You can add credit to their account (for example, if they overpaid or you want to give them a discount).
- Card on File: You can save a customer's credit card so they can pay quickly next time.
- Is it safe? Yes! Petsoft never actually "sees" the credit card number. It's stored safely by our payment partner.
Can I choose who gets marketing emails?
Yes. On the customer's Overview tab, you can turn Marketing Emails on or off.

Even if you turn off marketing, the customer will still get important emails like booking confirmations or reminders about their pet's stay.
