Customer and Pet Tags

A tag is a small colored icon with a label. Staff attach a tag to a customer or a pet to flag important information quickly, such as Aggressive, Flight Risk, Medication, or VIP. Tags appear as chips next to the customer or pet name throughout the office portal. This lets your team see important information without opening the full record.

Tags are private to your team. They never appear in the Parent Portal.

What You Need

  • Plan: Tagging is available on the Professional and Petsoft Partner plans.
  • Access: Staff with the Manage Tags permission can create, edit, and order tags. Staff with the Apply Tags permission can apply tags to customers and pets. Account Owners have both permissions.

Create Your Tags

Set up your tags one time. Then apply them as many times as you need. Go to Organization > Settings > Tags.

The fastest way to start is Add starter tags. This adds a ready-made set of common tags. You can keep, rename, recolor, or delete each one. Petsoft asks first: "Add the Petsoft starter tags? Tags with the same name are skipped." You can click Add starter tags again later. It never creates duplicate tags.

The starter set covers most of what a facility needs to flag every day:

  • For pets: Aggressive, Medical Alert, Resource Guarder, Special Needs, Allergy, High Energy, Separate Feeding, Not Potty Trained, Senior, Shy / Timid, Flight Risk, Crate Trained, Medication, Special Diet, Good with Kids, Grooming Day, Dog Social
  • For customers: Balance Due, Do Not Book, Waiver Needed, New Customer, Preferred, VIP
  • For both: Friendly

To build your own tag, click Create a new Tag and set:

IconSearch the icon picker by name. Try "dog," "medical," or "star."
ColorPick a color that shows the tag's meaning. For example, use red for warnings and green for good conditions.
AnimationAn optional moving effect that makes a tag easier to notice.
Applies to Customers / Applies to PetsWhere you can use the tag. Select one check box, or both.

A Preview panel shows the chip while you create it. Click Save. You can edit or delete any tag later from the same list.

Put a Tag on a Customer or Pet

  1. Open a customer record or a pet record. The tag chips appear next to the name, next to an Add button (+).
  2. Click the Add button (+). Select one or more tags. Each tag highlights when you select it. Click Add selected. Use the search box to find a tag quickly.
  3. To remove a tag, move the pointer over its chip. A remove button (×) appears. Click the remove button, then confirm.

You can also add and remove tags directly from the list on Customer search results and the reservations dashboard. The same Add button (+) and chips work there. You do not need to open the record first.

Chips show only the colored icon, to save space. Move the pointer over a chip to see its full label.

If you have not created any tags yet, the + opens a short prompt with a Set up tags button. If you do not have the Manage Tags permission, the prompt tells you to ask an administrator. The button always does something when you click it.

Where Tags Appear

After you apply a tag, it appears with the customer or pet everywhere in the office portal:

  • The customer header on every customer page.
  • Each pet on the Overview page, the Pets tab, and reservation details.
  • The reservations dashboard, next to the customer and the pet on each row.
  • Customer search results, next to the customer name and each pet.

Automatic Tags

Petsoft manages some tags automatically. These tags appear when a customer or pet meets a condition. There are seven automatic tags:

These tags show in the same chip row as your own tags. All flags appear together. Automatic tags work differently from tags you create, in these ways:

  • You can change how they look. Open a tag from your tag list to change its icon and color.
  • You can reorder them. They share the same customer and pet order as your own tags.
  • You cannot rename, delete, or manually apply them. The customer's or pet's actual status controls when each tag shows, and for some tags, the message it shows. In your tag list, automatic tags show a small lock icon. They never appear in the Add (+) menu.
  • Some link to their source setting. For example, the Vaccine Warning tag can link to the vaccine requirement settings. If the tag has a related setting, its edit page shows a Manage this condition link. You see this link only if you have permission to change that setting.

Reorder Your Tags

The order you choose controls how tags appear everywhere: on chips, in the add-tag menu, and in your tag list.

  1. Go to Tags > Reorder.
  2. You will see two lists: Customer tags and Pet tags. Drag each list into the order you want. Petsoft orders the two lists separately.
  3. Click Save order.

On the Tags page, you can click a column heading, such as TITLE, to sort the table. Click the TAG heading again to return to your custom order.

Count Customers and Pets by Tag

Click View tag report to see how many customers and pets have each tag. The report is broken down by home facility and includes an ORG TOTAL column. It covers both your own tags and the automatic tags. Click any number to see the list of customers or pets it counts. Use Download Excel to export the whole report.

Additional Notes

  • Starter tags save you time, but you do not have to keep them as they are. Add them, then rename, recolor, or delete them as needed.
  • Delete a tag to remove it from every customer and pet that has it. Your records keep their history of the tag. Petsoft asks you to confirm first: "Delete this tag? It will be removed from all customers and pets."
  • The "Applies to" setting matters. A tag set to Customers only does not appear in the add menu for a pet. A tag set to Pets only does not appear in the add menu for a customer.
  • Apply every possible tag to find a hidden reward. When a customer or pet has every tag that can apply to it, the Add button (+) changes into a gold trophy icon.
