Starting your day

When you log into Petsoft, the dashboard is where you land. It is designed to show you what needs attention right now, before you dig into anything else.

The numbers at the top​

Across the top of the dashboard you will see a few boxes. These change based on what is happening today:

  • Pending requests: Online booking requests waiting for your approval
  • Unposted invoices: Stays that have checked out but have not been billed yet
  • Checked in today: Pets currently in your care
  • Checking out today: Pets going home today

If a box shows zero, that is good news. If it shows a number, click it to go straight to the list.

Pending requests​

This is usually the first thing you should check. When a customer books through the parent portal, the stay does not go onto your calendar until you approve it.

Click the pending requests box to see the list. For each one you can:

  • Approve: The stay becomes a real reservation and the customer gets a confirmation email
  • Deny: The stay is canceled and the customer gets a polite message
  • Edit: Change the dates or service before approving
tip

If you find yourself approving the same type of request over and over, check your online booking rules. You might be able to auto-approve certain services and save yourself the clicks.

Unposted invoices​

When a pet checks out, Petsoft creates an invoice automatically. But it does not post it to your books until you review it. The unposted invoices box shows how many are waiting.

Click through to review each one. Make sure the services, add-ons, and retail items look right. Once you post the invoice, it shows up in your revenue reports.

The daily schedule​

Below the numbers is a schedule view. It defaults to today and shows:

  • Arrivals (pets checking in)
  • Departures (pets checking out)
  • Grooming appointments
  • Daycare drop-offs

You can flip between day, week, and month views. The week view is useful for spotting busy periods where you might need extra staff.

Operations overview​

If you need more detail than the dashboard provides, go to Operations > Overview. This page shows a longer list of upcoming reservations, separated by service type. It also lets you filter by facility if you have more than one location.

The overview page is where most front-desk staff spend their time during the day. It updates in real time, so if someone checks in from a different computer, you will see it refresh without reloading the page.
