Set your branding

Branding controls how the app, the Parent Portal, and the emails that Petsoft sends look for you.

To get started, go to Organization > Settings. Find the Colors, Images, Messaging, Links, and Customer Reviews sections on this page.

Change the colors

Two colors set the look of your navigation bars and your emails. Go to Organization > Settings, then open the Colors section:

  • Primary Header Background Color — the navigation and menu bars.
  • Primary Header Text Color — the text on those bars.

The Colors section of Organization Settings Both colors as RGB values with a live swatch — the pencil opens the editor.

To edit a color, click the pencil icon. Then enter the Red, Green, and Blue values (0–255) and the Alpha value (opacity, 0.0–1.0).

note

There is no hex code field or color picker. You enter the four numbers directly. If your designer gave you a hex code like #2E5C8A, first convert it to Red, Green, and Blue values. You can use any online converter to do this. Then enter the three values.

tip

A color change can take up to 24 hours to appear everywhere. Petsoft stores a temporary copy of your style settings, called a cache, and reuses it. When you refresh your browser, you clear only your own copy. If your colleagues still see the old color, they have not made an error.

Go to Organization > Settings, then open the Images section. There are two slots:

  • Organization Logo — the primary logo on the emails Petsoft sends for you.
  • Login Page Logo — Petsoft shows this logo to your customers on the login, registration, and email-verification pages.
important

There is no file upload. Each slot needs an Image URL. You must store the image on a public web server before you enter the URL — your own website is the usual choice. Petsoft describes the field as "A valid URL to a web-safe image format. (png/jpg/jpeg/webp/gif)".

Add custom messages for your customers

Go to Organization > Settings, then open the Messaging section, to add your own text to specific places in emails and the portal. Edit a type, enter the Message, and save. Or delete it to use the default message instead.

The Messaging section of Organization Settings The seven message types — each row shows exactly where Petsoft displays your custom text.

MessageWhere it appears
Reservation Confirmation Additional MessageExtra text on reservation confirmation emails — check-in instructions, your cancellation policy.
Pet Parent Vaccination MessageAppears to parents about vaccination requirements on the pet vaccination page.
Portal Invitation MessageIncluded when you invite a customer to the Parent Portal.
Pet Approval Override MessageAppears when a pet is approved for a trial visit.
Account Approval Override MessageAppears when an account's approval is overridden.
Pet Parent Reservation List Page AnnouncementA banner on the reservation list page in the portal.
Pet Parent Pending Approval Portal MessageAppears to parents while their account is pending approval.
tip

The Pet Approval Override Message supports a {{ PetName }} placeholder. Petsoft fills in the pet's name when it sends the message. The other messages do not do any substitution. Petsoft uses the text you write exactly as you enter it.

Go to Organization > Settings, then open the Links section, which lists your social media pages and your website: Facebook, Instagram, LinkedIn, Twitter, YouTube, and your Public Website. Petsoft shows saved links in the portal and in the emails it sends.

Get more Google reviews

Petsoft can ask for reviews automatically. Go to Organization > Settings, then open the Customer Reviews section, to set up automatic review requests for each facility:

  1. Turn on Enable reviews for your facility name.
  2. Paste your Google Review URL.
  3. Customize the SMS Content (keep it under 160 characters) and the Email Content.
  4. Click Preview Messages to see the message text for a customer with one pet, two pets, or three pets, and for the SMS version.

Both the email and the text support the same five tokens:

TokenFills in with
[Pet Parent Name]The customer's first name
[Pet Names]The pets on the stay
[Facility Name]The facility they visited
[Organization Name]Your organization
[Unique URL]The link to your review page

Petsoft matches tokens exactly, including brackets and capitalization.

note

When Petsoft sends the review request, and to whom. Petsoft sends the request about 2 to 3 days after checkout, after a customer's first multi-day boarding stay — not daycare, and not grooming. The timing is fixed. You cannot change it. Petsoft sends email requests only to customers who have Marketing notifications turned on. Petsoft sends the text message regardless of that preference, but you must set up your SMS number first.

There is no field for other review sites here. If you want to promote your Facebook, Instagram, LinkedIn, Twitter, YouTube, or website links, use the separate Links section instead — it is not part of Customer Reviews.
